Charter hire is the whole vehicle, for the whole time you need it, with a driver who stays with your group from the first pickup to the last drop-off. You tell us where the group starts, where it has to be and when, and we build the run sheet around that instead of around a timetable. Because the bus is yours for the booking it waits while a tour runs long, takes the detour to the second hotel, and carries the gear that will never fit in a car. We publish indicative hourly rates so you can budget before you speak to anyone, then confirm the real number in a written quote. Driver, fuel, vehicle insurance and GST are inside every charter we quote.

Almost everything in our fleet handles the Great Western Highway, so the choice is really about the day rather than the climb. For up to about twenty-four people an executive minibus is the easy answer — it parks in the village streets, turns around at a lookout car park, and keeps the group in one conversation. Between roughly twenty-five and forty, a midi-coach adds underfloor luggage and a PA, which matters if you are travelling with a guide or a teacher who wants to be heard. Over forty, a full-size coach with reclining seats makes the two-hour legs far more comfortable, and it is the better vehicle if the group includes older travellers. If Jenolan Caves is on your list, tell us early: that leg is long, winding and has its own access constraints, and we check the road and size the vehicle for it rather than assuming.

Luggage decides this one, and it is the run where the seat count on paper is most misleading. A group of twenty-four travelling to a wedding fits an executive minibus easily; the same twenty-four with a cruise case and a carry-on each does not. For cruise work we size on effective headcount rather than seats: a high-roof Sprinter with a rear bay handles a small family group and their bags, a midi-coach or a full-size coach with an underfloor bin handles anything larger, and a thirteen-seat Commuter is the wrong vehicle for any cruise transfer no matter how few people are travelling. Tell us the true bag count when you enquire — not the polite version — and we will name a vehicle that takes all of it in the hold rather than half of it on laps.

Three hours each way rules out the small end of the fleet. Reclining seats stop being a luxury on a leg this long, and underfloor luggage stops being optional the moment the trip runs overnight — a year group with overnight bags and a club with kit both need a proper bin rather than a rear cupboard. For a class or a squad, an executive minibus or a midi-coach with a PA works well and parks easily at the institutions. For a full year level, a forty-one or sixty-seat coach carries everyone in one vehicle with one driver and one set of arrangements at every venue, which is far easier to supervise than two vehicles arriving three minutes apart. Beyond about sixty passengers we run a coordinated convoy with one run sheet and staggered loading. If the trip is multi-day or continues past Canberra, ask us about a touring coach with restroom options.

Access, not capacity, is the deciding factor in the Highlands. Rural venue driveways are often narrow, sometimes unsealed, occasionally lined with low branches, and rarely built with a fourteen-metre coach in mind. For up to twenty-four guests an executive minibus reaches almost any property and turns around in a paddock gateway. Between twenty-five and forty a midi-coach is usually workable if the driveway is sealed and there is somewhere to turn. Over forty, a full-size coach carries everyone in one movement and is the cheapest option per head — but only when the venue can genuinely take one, and two minibuses running together frequently beat one coach at a country property. On the Kangaroo Valley and Fitzroy Falls side, the descents are narrow and winding, so we check the specific address before committing a large vehicle rather than assuming it will be fine.

Get a charter quote

How far ahead should I book a charter?
For a weekday transfer inside metropolitan Sydney, a week or two is usually comfortable. School terms, the spring wedding season, race meets and end-of-year functions fill much earlier, and Saturdays go first. If your date is already fixed, enquire as soon as you have it — we would rather hold a vehicle than tell you later that the size you needed has gone.
Should the coach wait between legs, or leave and come back?
Both work, and the cheaper option depends on the gap. Under roughly two hours it is normally better to keep the vehicle with you, because the driver stays on the clock either way. Over that, releasing the coach and booking a separate return leg often costs less. Tell us the gap when you enquire and we will price it whichever way suits your day.
What happens if our numbers change after booking?
Tell us as early as you can. Moving up or down inside the same vehicle costs nothing. Changing to a different size depends on what is available for your date, and the written quote is reissued so the change is on paper before you pay. Numbers that grow past sixty-one become a convoy of two or more coaches, planned with one run sheet and staggered loading.
