What moves the price
Eight things that change your number
Most of these are within your control. Knowing which ones matter is usually worth more than shopping the rate around.
Hours booked, not kilometres driven
Charter hire is priced by the time the vehicle and driver are committed to you, from the depot departure to the return. A short run with a four-hour wait in the middle costs more than a longer drive with no gap in it.
Group size, because it picks the vehicle
The hourly rate follows the vehicle, so twenty-six passengers cost more per hour than twenty-two — a midi-coach instead of a minibus. Just over a seat threshold is the most expensive place to sit, which is worth knowing before you finalise the list.
Distance beyond the Sydney basin
Pick-ups anywhere in Greater Sydney carry no travel surcharge. Trips that run out to the Blue Mountains, the Hunter, the Southern Highlands or interstate are quoted on the full itinerary, including the empty running at each end.
The day and the time of day
Weekday daytime work is the base. Very early starts, late finishes, weekends, public holidays and event days carry loading, and those are confirmed in the quote rather than added later.
Stops, and whether the coach waits
Extra pick-up points add time to the run sheet. If the gap between legs is longer than about two hours, releasing the vehicle and booking a separate return leg is usually cheaper than paying it to wait — tell us the gap and we will price it both ways.
Luggage, gear and equipment
A suitcase each, sporting equipment or instruments can push a group up a vehicle size even when the seat count fits. Say what is coming with you and we size the vehicle for the load rather than the headcount alone.
Accessibility requirements
Wheelchair positions change which vehicle is assigned and add loading time to the schedule. There is no separate access charge; the effect is on vehicle choice and the length of the booking.
Multi-day and interstate travel
Overnight charters are quoted per itinerary and include the driver's accommodation and the rest breaks the law requires. Those are built into the schedule at quoting time, which is why a two-day trip is not simply twice a one-day price.
Two ways to buy
Hourly charter or a fixed transfer fare
Choosing the wrong structure is the most common reason a quote comes back higher than someone expected. Here is how to tell which one your trip is.
Hourly charter
The vehicle and driver are yours for a block of time. Best when the group needs the bus to wait, when there are several stops, or when the finish time is not fixed — school excursions, tours, wedding runs, event days.
Priced on hours committed, three or four-hour minimum by vehicle.
Unlimited stops inside the booked window.
Overtime applies if the day runs past the booked finish.
Fixed transfer fare
One agreed price from A to B, with no minimum hire. Best for airport and cruise terminal runs, hotel-to-venue transfers and any single movement where the bus is released at the far end.

Is the hourly rate per person or for the whole bus?
For the whole vehicle. You are hiring the bus and the driver for the booked period, so the rate does not change if two people cancel. That is why the cost per head drops sharply as the group grows — the same booking split across fifty-five people is a fraction of what it is across twelve.
Why is there a minimum hire period?
Because the vehicle and the driver are committed to your booking for the block either side of it, and cannot be used for anything else in that window. Minimum hire is three hours on minibuses and people movers and four hours on midi-coaches and full-size coaches. An airport or point-to-point run can instead be quoted as one fixed transfer fare for the route, and a fare quoted that way is not charged at a minimum.
What is not included in the hourly rate?
Tolls, parking and venue access fees, driver accommodation on multi-day trips, public-holiday and after-hours loading, and waiting time beyond the booked window. None of those are hidden — each one that applies to your trip is itemised in the written quote before you pay anything, so the invoice cannot contain a line the quote did not.
Do you charge extra for a second pick-up point?
Not as a separate fee. Extra stops add time to the run sheet, and the booking is priced on that time. Two pick-ups five minutes apart usually changes nothing; two pick-ups on opposite sides of the harbour adds an hour, and the quote will show it.
Is a deposit required, and when is the balance due?
A deposit confirms the date and takes the vehicle out of the diary. The balance is due before travel, or on invoice for account clients with approved terms. The exact amounts and dates are set out in your written quote so there is nothing to negotiate on the day.
Can I get a cheaper price for a regular booking?
Yes — standing work is quoted differently to one-off charters. Weekly staff shuttles, term-length school runs and repeating event loops are priced across the whole schedule rather than trip by trip, and they can be invoiced monthly against a purchase order. Ask about a business account when you enquire.
How do I keep the cost down?
Three things move the number most. Book one vehicle that fits rather than two that nearly do; keep the group together at one pick-up point where you can; and avoid leaving a long paid gap in the middle of the day when releasing the coach and booking a return leg would cost less. Do your drivers have Working With Children Checks?
Drivers hold a current Working With Children Check, plus a Driver Authority issued by Transport for NSW. Tell us when you enquire that it is a school or youth booking and we can supply the check numbers to your school office before the day.
How far in advance should I book?
Two to four weeks for most jobs. Peak periods — December, race days, school excursion season, long weekends — book out four to eight weeks ahead, so get in earlier if your date is fixed.
Are wheelchair-accessible vehicles available?
Tell us how many wheelchair positions you need and whether the chairs are manual or powered, and we will confirm what the vehicle assigned to your dates can do before you book. Loading and securing takes real time, so it goes into the schedule rather than being made up on the day.
What's your cancellation policy?
The cancellation terms for your booking are set out in your written quote, so you know before you accept it what happens if the trip does not go ahead. Tell us in writing as early as you can — the date we receive your notice is the date it takes effect.
Can we bring food and drink on board?
Food and non-alcoholic drinks are fine on all vehicles. Alcohol is permitted on private function bookings by prior arrangement only, and never on school or youth charters.
Do you travel interstate or overnight?
Yes. Multi-day and interstate charters are quoted per itinerary and include driver accommodation and mandated rest breaks, which we build into the schedule rather than leaving to chance.
What happens if a bus breaks down?
If a vehicle fails we arrange a replacement and keep you informed while it is on its way. Tell the driver or call the office as soon as you notice a problem and we will confirm what is coming and when.
