How Weddings works with us
A wedding runs on a schedule nobody wants to think about on the day, which is exactly why the transport should be settled weeks beforehand. We build the run sheet backwards from the ceremony time: when the bridal party leaves, when guests are collected from the hotel, how long the photographs really take, and what time the last shuttle leaves the reception. Guest shuttles are usually the difference between people drinking comfortably and people driving home, and one coach doing two loops generally costs less than a queue of taxis at midnight. We confirm where the vehicle can stop at each venue, because heritage chapels, headland lookouts and reception centres are rarely as accessible as they look in the photographs.

Start with the headcount, then adjust for what the group is carrying. A suitcase each, or a set of sporting gear, moves a booking up a size even when the seats already fit — which is why the quote form asks about luggage as well as passengers.

Which vehicle suits the Southern Highlands run
Access, not capacity, is the deciding factor in the Highlands. Rural venue driveways are often narrow, sometimes unsealed, occasionally lined with low branches, and rarely built with a fourteen-metre coach in mind. For up to twenty-four guests an executive minibus reaches almost any property and turns around in a paddock gateway. Between twenty-five and forty a midi-coach is usually workable if the driveway is sealed and there is somewhere to turn. Over forty, a full-size coach carries everyone in one movement and is the cheapest option per head — but only when the venue can genuinely take one, and two minibuses running together frequently beat one coach at a country property. On the Kangaroo Valley and Fitzroy Falls side, the descents are narrow and winding, so we check the specific address before committing a large vehicle rather than assuming it will be fine.

Before you book
The questions we get most often. If yours isn't here, call and ask — we'd rather answer it now than have you find out later.
Can one bus do both the bridal party and the guests?
Often, yes — one vehicle can take the bridal party to the ceremony and then loop back for guests before the reception. Whether it works depends on the gap between the two movements and the distance between venues. Send us the timings and we will tell you honestly whether one vehicle covers it or you need two.
How late can the last shuttle run?
As late as your reception venue allows. Tell us the finish time when you book so the driver hours are planned around it. A shuttle extended on the night is sometimes possible, but it is charged as waiting time and depends on the driver still being legally able to drive.
What if the ceremony runs over?
It usually does, a little, and a good run sheet has room in it. We build a realistic buffer into the schedule rather than a hopeful one. A significant overrun becomes waiting time, which is confirmed in advance so nobody is negotiating it while still in formal wear.
